When is it worth hiring a production company?

How to decide whether to outsource your film, photography and content, with clear criteria, not a hunch.

Published 4 July 2026 · 4 min read

“Do I need professional photos or films?” is the question almost everyone asks, and it is not the one that matters. The one that matters is whether the cost of carrying on without professional work, in sales, in bookings, in how the brand is read, has already passed the cost of making it. This guide gives you the criteria to answer that, and to recognise when it is not your turn yet.

Short answer

It pays to hire when your current material does not represent the quality you actually deliver, when you already spend on visibility but the creative does not convert, or when your competitors have made the jump and you have not. It does not pay yet if your message is still unclear, the volume is tiny, or the budget would force you to compromise on quality. Every signal in detail below.

Five signals that the time has come

  • —Your current material does not represent your real quality: the product or the service is good, but the photograph or the film is not at that level, critical in any sector where the buying decision goes through the image before it goes through a conversation.
  • —You spend on advertising but the creative does not convert: if the media budget is already there, the bottleneck is not reach, it is production.
  • —You have recurring events that somebody films on a phone “to edit later”, and later it is not edited, or it is edited too late.
  • —Your competitors have already made the jump to professional work. Carrying on without it is no longer neutral: it is an active disadvantage.
  • —You have been putting it off for months with a “when there is budget”, while the lack of material is already costing you sales nobody counts but everybody feels.

What a production company adds

A current phone records at a fine resolution, so the advantage of outsourcing is not the kit. What separates a professional film from a homemade one is everything you do not notice until it is missing:

  • —Direction of the story, what gets told first and what gets left out.
  • —Consistency across pieces, one visual language in film, photography and social.
  • —Invisible technical work, light, sound and several cameras at once so no moment is lost.
  • —Your team's time back, nobody in your company edits or chases a freelancer.
  • —Delivery in the formats you will actually use, vertical, horizontal and short cutdowns, with no manual cropping.

When NOT to hire yet

Wait if…

  • —You are still not clear about what you want to say.
  • —The volume you need is so low it does not justify even a minimal session.
  • —The budget is so tight it would compromise the quality, better to wait than to redo it later.
  • —You need the material within hours, with no room to coordinate a crew or a location.

How to work out whether it pays

Divide the cost of the project by the number of times it will make an impression: sales meetings, visits to the product page, months live on the site. A €2,000 film used in thirty pitches over two years costs under €70 an impression, before counting what it does to how the brand is read.

Common mistakes

  • —Hiring before the message is clear, and ending up with a beautiful but generic film.
  • —Choosing on price alone, without comparing what each quote actually includes.
  • —Not deciding where the work will be used, and receiving a format that does not fit.
  • —Asking for “everything” without prioritising, which inflates the budget with no clear goal.

In short

It is worth hiring when the cost of carrying on without professional work is already higher than the cost of making it, and you know what you want to say even if the script is not closed. If that is not you yet, keep this guide and come back when it is.

Frequently asked questions

Do I need the script ready before hiring a production company?+

No. It is better if it is not closed, a good production company helps you define the message during the briefing. What is worth being clear about is the goal and where the work will be used.

Can I start with photography only and add film later?+

Yes. It is the usual route for hotels, restaurants and product brands: photography rolls out faster across more channels, and film follows once the budget has proven itself.

How far in advance should I book production for an event?+

Two to three weeks minimum for a fixed date, to lock in the crew and handle pre-production. For conferences or multi-venue events, the earlier the better.

Can a marketing agency hire a production company too?+

Yes, it is common. Plenty of agencies outsource the shoot and the edit while keeping the strategy and the client relationship.
